Rental Agreement
Effective January 1, 2026
A copy of this Rental Agreement is generated automatically for every booking on Sourced Rentals and is attached to the booking receipt. It is a direct contract between the equipment owner ("Host") and the person renting the equipment ("Renter"). Sourced Rentals (T1 Ventures, LLC) is not a party to this agreement and acts only as the marketplace facilitator.
1.Booking details (auto-filled at checkout)
- Host name and contact
- Renter name and contact
- Equipment description, VIN/serial (where applicable), and photos
- Pickup and return date, time, and location
- Daily rate, add-ons, taxes, deposit, and total
- Security deposit hold amount and authorization
2.Pickup condition
- Host and Renter must complete a photo check-in at pickup, capturing all sides of the equipment, the odometer/hour-meter, fuel level, and any pre-existing damage.
- Signed photos and notes are timestamped and stored on the booking receipt as the baseline condition.
- If Renter does not complete photo check-in, the equipment is presumed to have been delivered in the condition shown in the Host's most recent listing photos.
3.Return condition
- Renter must return the equipment on the return date at the agreed location, in the same condition as pickup (reasonable wear excepted).
- Host and Renter must complete a photo check-out at return — same angles as pickup, plus odometer/hours and fuel level.
- Any damage, missing accessories, or condition differences must be flagged in the check-out photos within 24 hours of return.
4.Late fees
- A late return grace period of 30 minutes applies. After the grace period, Renter is charged the equipment's daily rate for each additional 24-hour period (or portion thereof).
- Returns more than 24 hours late without written Host approval are treated as unauthorized use and may be reported as stolen.
- If a late return causes the Host to cancel a subsequent booking, Renter is liable for that lost revenue.
5.Damage responsibility
- Renter is responsible for any damage, loss, theft, or vandalism that occurs during the rental period, up to the full replacement value of the equipment.
- The security deposit (see Section 9) may be applied to damage charges. Amounts exceeding the deposit will be billed to Renter's payment method on file.
- Insurance claims are handled solely by the applicable third-party carrier (Renter's policy or the Host's policy) under that carrier's terms, deductibles, and exclusions. Sourced Rentals is not an insurer, is not a party to any policy or claim, and does not adjudicate or pay claims.
- Renter must notify Host within 24 hours of any accident, damage, or loss and cooperate with any investigation or claim.
6.Fuel and fluids policy
- Default rule: Renter returns the equipment with the same fuel/charge level shown at pickup.
- If returned with less fuel, Renter is charged the fuel cost plus a $10 refueling fee per unit (tank or battery).
- Renter uses fuel/lubricants of the grade specified by the Host or the manufacturer. Using the wrong fuel or fluid makes Renter liable for all resulting repair costs.
- For electric equipment, Renter returns with a charge level at or above the pickup level; a $15 recharge fee applies otherwise.
7.Cleaning policy
- Equipment must be returned in the same state of cleanliness as pickup — mud, sand, food waste, pet hair, and interior debris must be removed.
- A standard cleaning fee of $50 applies for light cleaning; up to $250 for heavy cleaning (deep interior, upholstery, biohazard, oil/paint).
- Smoking of any substance inside enclosed equipment (truck cabs, boat cabins) triggers a $250 deodorization fee.
8.Mileage, hours, and geographic limits
- Any daily mileage or engine-hour cap set by the Host applies. Overage is billed at the per-mile or per-hour rate shown on the listing.
- Equipment may not leave the geographic area agreed with the Host without written consent.
9.Security deposit authorization
By accepting this Rental Agreement, Renter authorizes Sourced Rentals (through its payment processor, Stripe) to place a pre-authorization hold on Renter's payment method for the security deposit amount shown on the booking receipt. The hold is placed at or before pickup and released within 7 business days of return, less any deductions for:
- Damage or loss (Section 5)
- Late fees (Section 4)
- Fuel or refueling fees (Section 6)
- Cleaning fees (Section 7)
- Mileage or hours overage (Section 8)
- Traffic, parking, or toll violations incurred during the rental
Renter also authorizes Sourced Rentals to charge any amount of damage or fees exceedingthe deposit hold to the same payment method, upon documented notice.
10.Insurance
Sourced Rentals is not an insurer and does not sell, broker, or administer insurance. Any coverage is provided solely by third-party carriers under the Renter's own policy or the Host's own policy, subject to that policy's terms, limits, exclusions, and deductibles. Renter is responsible for any deductible and for any damage or liability not covered by an applicable policy.
11.Prohibited use
Renter agrees not to (a) operate the equipment illegally or while impaired, (b) use it in any race, competition, or off-road use not permitted by the Host, (c) allow anyone not named on the booking to operate it, (d) sublet or transfer the rental, or (e) use it to transport hazardous materials or for commercial hire not disclosed at booking.
12.Cancellation
Cancellation terms follow the Sourced Rentals Terms of Service — see the Terms of Service, Section 6.
13.Assumption of risk and release
Renter acknowledges that operating rented equipment (trucks, trailers, boats, powersports, tractors, mowers, aircraft services, and similar items) is inherently risky. Renter assumes all risk of personal injury, death, or property damage arising from the rental and releases the Host, Sourced Rentals, and T1 Ventures, LLC from all related claims to the fullest extent permitted by law.
14.Dispute resolution
Disputes between Host and Renter are resolved first through the Sourced Rentals in-app messaging and claim process, then through binding individual arbitration as described in the Terms of Service, Section 12.
15.Acceptance
By completing checkout, Renter agrees to this Rental Agreement. By listing equipment and accepting a booking, Host agrees to this Rental Agreement. The generated receipt, listing snapshot, and check-in/check-out photos are incorporated by reference.
